What kinds of office cleaning are there in Ho Chi Minh City?
Three names are used loosely for three services that differ in purpose, frequency and how they are charged. An office that runs smoothly usually needs two layers: a daily routine and a deep clean at intervals.
| Service | Purpose, frequency and charging |
|---|---|
| Periodic deep clean | Cleans what the daily round does not reach: floors scrubbed by machine, carpets, chairs, glass, ceilings, lights and air vents. A team does it in one operation, outside working hours, for an all-inclusive price. |
| Daily or scheduled cleaning | Keeps desks, meeting rooms, the pantry and the washrooms clean at an agreed frequency, with the same team each time and an all-inclusive monthly price. |
| Janitorial staff, hourly or on site | Staff present for a shift or at fixed hours to clean, refill paper and soap and keep order through the day, on a monthly contract with supervision and cover for absences. |
What does daily office cleaning cover?
Staff work from a task list drawn up for each area and agreed for each visit. The table is an example from an office that keeps normal business hours; the real list follows the survey and is attached to the contract.
| Time or area | Typical tasks |
|---|---|
| Before the working day | Reception, front desk and glass doors wiped; work-area floors mopped; washrooms checked, paper and soap refilled. |
| End of the day | Bins emptied and liners replaced; clear desks wiped; washrooms cleaned a final time; anything that needs reporting noted for the person in charge. |
| Meeting rooms and pantry | Meeting rooms cleared; worktop, sink and microwave wiped; wet waste collected. |
| Weekly and monthly | Glass within safe reach, door frames, skirting and air vents wiped; the shared fridge cleaned. |
| Not done | Papers are not read, rearranged or moved. Drawers and personal cabinets are not opened. Electronic equipment is not operated. |
What does a periodic deep clean cover, and how often is it needed?
A deep clean works from the top down and deals with the surfaces the daily round only passes over. Once a quarter suits a small office or a shophouse, though headcount, floor type and location change how fast dirt builds up. Carpet at entrances and in corridors should be cleaned every three to six months, and in quieter rooms every six to twelve. Add a deep clean when you move office, after renovation, before the Tết closure or ahead of an important visit.
The work is scheduled outside office hours, because machines are used and floors and carpets need time to dry.
| Area or surface | What is done |
|---|---|
| Ceilings, lights and air vents | Vacuumed and wiped where a proper ladder reaches safely; done first, so that falling dust is cleared in later steps. |
| Glass partitions and doors | Meeting-room glass, entrance doors and the inside face of windows within safe reach. UpClean does not use rope access or a gondola, so the outer façade is not included. |
| Hard floors | Scrubbed by machine, the dirty water vacuumed up, the floor dried; grout scrubbed by hand. |
| Carpet and carpet tiles | Cleaned according to the material, with most attention to entrances and corridors. |
| Office chairs and reception sofas | Fabric and felt chairs are washed, mesh chairs with little water; leather is cleaned and conditioned, not wet-washed. |
| Pantry and washrooms | Grease, limescale and soap scum removed from sinks, worktops, tiles, taps and sanitary ware. |
Hourly janitorial staff or a fixed-scope contract: which fits your office?
The choice turns on how long someone needs to be on the premises. The arrangements below can be combined in one contract.
UpClean sets no default number of hours or people. After the survey it proposes them from the floor area, the footfall, the number of washrooms and your opening hours, and writes them into the contract. If your needs change, it surveys again and sends an adjustment annex, effective when both sides sign.
| Arrangement | How it works and who it suits |
|---|---|
| Hourly janitorial staff | A cleaner comes at fixed hours, for example first thing in the morning or at the end of the day, several times a week. Suits small and mid-sized offices that do not need someone all day. |
| On-site janitorial staff | Shifts on your working days, on a monthly contract. Suits a busy office, a building, a showroom, a school or a clinic. |
| Fixed-scope periodic contract | Routine cleaning plus carpet, chair and aircon cleaning on one schedule, with a monthly report and a VAT invoice for each billing period. |
What should an office cleaning contract contain?
A cleaning contract need not be long, but it must answer three questions: what is done, what counts as done properly, and who is responsible when something goes wrong. Check a draft against these nine groups of clauses, whichever side wrote it. This is general guidance, not legal advice; for a high-value contract, have your legal team or a lawyer read it before you sign.
| Clause | What it should state |
|---|---|
| The parties | Names, tax codes if any, the address of the premises, each side's contact and the person authorised to accept the work. |
| Scope of work | Items by area, with reference to the annex, and what is not included. |
| Timing | Start date, working hours and number of visits; for a recurring contract, the frequency and the rule for changing dates. |
| Acceptance standard | Criteria for each group of items, who signs, the deadline, and how a failed item is handled. |
| Value and payment | The contract value, what it includes, any deposit, the payment deadline and the invoice. |
| Supplies and equipment | Who provides machines, products and consumables, and who provides power and water. |
| Liability for damage | How the starting condition is recorded, the deadline for reporting, the evidence needed and the remedy. |
| Confidentiality and access | Restricted areas, rules on documents and property, staff registration, keys and cards. |
| Changes and termination | How the scope is changed by annex, when work may be suspended, and the notice period for ending the contract. |
What goes into the scope and acceptance annex?
The body of a contract looks much the same from one site to the next; the annex describes your office. Scope and acceptance, the check and sign-off of the work, are where most disagreements start. A good annex lets someone who took no part in the negotiation check the work.
- Divide it by area: each floor, room or zone, in the order of the inspection walk.
- Write each item as a specific job, such as cleaning the inside face of the glass and the frames, not "clean everything".
- Attach a criterion that can be seen: no streaks on glass, no standing water on floors, no dust on cabinet tops.
- State what is not included: high outside glass, the insides of cabinets in use, electronic equipment.
- Say who inspects, whether a failed item is put right on the spot or at a return visit, and how long you have to respond to the report.
- Attach photos or notes of existing scratches and stains.
- For an office, add who supplies toilet paper, soap and bin liners, how an absent cleaner is replaced, and whether carpet, chair and aircon cleaning are inside the contract or quoted each time.
Who supervises the cleaners, and who employs them?
UpClean's supervisor does the checking, and your administration deals with one fixed contact. Each site has a checklist by area and frequency; the supervisor visits at intervals, compares the work with the checklist, records what falls short and corrects it on the spot. Results go to your administrator in an Up Report, UpClean's report of the work done, with photos where needed, and an item that falls short is redone within 48 hours.
Your company signs a service contract with UpClean and no employment contract with the staff. UpClean recruits, manages and pays them, and meets the employer's obligations towards its own staff as the law requires. Staff are identity-verified and trained to the Up Standard, UpClean's working standard, before they arrive; they wear UpClean uniform and an identity badge and follow the building's access rules and your own. When someone is on leave, ill or leaves the job, UpClean provides a replacement under the contract and hands over the site's task list.
How do the survey and the quote work, and what has a listed price?
The survey is free. An Up specialist visits and records the floor area, floor types, the number of washrooms, your opening hours and the building's access rules. Have three things ready: which areas are restricted, who receives the work, and any task outside cleaning that you want included.
UpClean lists no hourly rate for janitorial staff and no general price per square metre for offices: the workload depends on dust, glass, floor type and timing more than on area. The written all-inclusive quote sets out the tasks, people, equipment and expected time, and nothing is added without your written agreement. Four specialist items have listed prices. They are reference figures; the price that applies is the one in your written quote.
| Item | Price |
|---|---|
| Office carpet cleaning | From 35,000 VND per m² for synthetic carpet; minimum 350,000 VND per visit. |
| Office chair cleaning | 45,000 VND per fabric, felt or mesh chair; 40,000 VND each from 50 chairs; minimum 390,000 VND per visit. |
| Machine floor scrubbing | 12,000 VND per m² for offices; minimum 900,000 VND per visit. |
| Glass cleaning | 10,000 VND per m² of glass within safe reach; minimum 500,000 VND per visit. |
| Daily cleaning and janitorial staff | An all-inclusive monthly price, set by the arrangement, hours, floor area, number of washrooms and who supplies consumables. |
How are sign-off, invoices and confidential areas handled?
A written contract can be requested for a single deep clean as well as for a regular schedule, and is drafted from the surveyed scope, not from a standard template. Payment follows acceptance; a large job may carry a deposit stated in the quote. VAT invoices are issued by Uptech Technology Solution Company Limited, tax code 0316973414, for each job or billing period, with a monthly work report on a regular contract.
- The director's office, accounts or the server room can be marked as restricted; staff enter only with someone from your office.
- The team leader photographs the starting condition. Report any damage within 24 hours with photos, so that the two can be compared.
- You name the person who hands over access cards and keys and the person who accepts the work; if that person is away, the Up Report shows what was done.
- In an office building, the team's names go to building management for registration in advance, and working hours and the lift used for equipment follow the building's rules.

Frequently asked questions
How much does office cleaning cost in Ho Chi Minh City?+
UpClean lists no general price per m² for offices and no hourly rate for janitorial staff; an all-inclusive quote in writing follows a free survey. Listed prices exist for carpet cleaning from 35,000 VND per m², office chairs at 45,000 VND each, floor scrubbing at 12,000 VND per m² and glass at 10,000 VND per m² of glass.
Can the office be cleaned outside working hours or at the weekend?+
Yes. UpClean works from 7:00 AM to 8:00 PM on every day of the week, so the work can fall early in the morning, at the end of the day or at the weekend, provided building management allows those hours.
Is there a minimum number of hours for hourly office cleaners?+
No fixed minimum applies to every office. The hours are proposed after the survey and written into the contract.
Do we have to sign employment contracts or pay insurance for the cleaners?+
No. Your company signs a service contract with UpClean. The staff are recruited, managed and paid by UpClean, which meets the employer's obligations as the law requires.
Do you clean the outside of the office building's windows?+
No. Glass cleaning covers partitions, glass doors and the inside face of windows within safe reach. Façade glass belongs to a contractor that specialises in work at height, usually arranged by building management.
Who should sign the acceptance record?+
The person named in the contract, who has authority to confirm on the client's behalf and who walks the site with the provider's person in charge. If that person may be absent, the contract should allow them to authorise a named substitute.
